Colchester Climbing Club (The Club) collects data from its members via the membership form filled in annually. This information is used to register you with the BMC and to enable the club to communicate all relevant information with you.
You will be required to opt in to sharing your data by ticking the relevant box on the membership form when you complete it.
Registering your information with the BMC will enable them to communicate with you about your membership and entitle you to the combined liability insurance cover offered as part of an affiliated club. The BMC may contact you and invite you to create a ‘Member Profile’ that, amongst other things, will allow you to amend your privacy settings. The Club will only use your data to pass onto the BMC for registration, as detailed above, and to communicate with you in a way you would reasonably expect by being part of a club. These communications are sent using Google Groups and involve; Club Trips, Socials, The AGM, Clothing Orders, Quarterly News and any important information we share with a legitimate interest.
The Membership Secretary will keep your information in an encrypted document that only they can access. Your name, membership type, payment status and whether you have autorised photos of you being posted on social media, will be securely available to all Committee members for administrative purposes.
Any stored data will be reviewed at the end of the year and permanently deleted if you have not renewed your membership and "opted in" to the club retaining your information for another year.
Every effort is taken to protect your personal data. Once we have your data, strict security features will be used to prevent unauthorised access.
Personal Data will not be passed onto any third parties except the BMC for your BMC membership, and Google Groups where your email address will be added for club communications.
